Uploading and Organising Documents
Digiiworks Legal provides a secure, encrypted document portal for managing all your matter-related files.
Uploading Documents
- Navigate to the relevant Matter → Documents tab.
- Click Upload and select one or more files from your device.
- Files are encrypted with 256-bit AES-GCM before storage — even we cannot read your documents.
- Supported formats: PDF, DOCX, XLSX, JPG, PNG (up to 25 MB per file).
Document Organisation
- Auto-categorisation — Documents are automatically tagged by matter when uploaded from within a case.
- Search — Use the search bar to find documents by filename across all matters.
- Folders — Create custom folders within a matter to organise pleadings, correspondence, evidence, and court orders separately.
Secure Sharing
- Client access — Clients can view (but not edit) documents shared with them through the client portal.
- Signed URLs — All download links expire after 1 hour for security. If a link expires, the client simply logs back in.
- Audit trail — Every document view and download is logged with a timestamp and user ID.
For more on how encryption works, see Security, Encryption and POPIA Compliance.
Best Practices
- Upload documents as soon as you receive them — this ensures nothing is lost and your team has immediate access.
- Use descriptive filenames (e.g., "Maintenance Agreement - Draft 2 - 2026-04-08.pdf") for easy searching.
- Review the audit trail periodically if you need to confirm a client received a document.
