Managing Case Status and Workflow
Keep your caseload organised by tracking matter status and using workflow tools to stay on top of every case.
Matter Statuses
Every matter has a status that reflects where it is in its lifecycle:
- Active — Currently being worked on
- On Hold — Paused, awaiting client input or court date
- Closed — Resolved and finalised
- Archived — Closed and moved out of active view
Update the status from the matter detail page by clicking the status badge.
Automated Case Notes
Practice tier and above get automated notes logging:
- When a document is uploaded, a note is added automatically
- When a deadline is created or completed, it's logged
- When an invoice is sent, the matter notes reflect it
- This creates a comprehensive timeline without manual effort
Profitability Tracking
Each matter shows a profitability indicator based on time spent versus the expected fee:
- Within budget (green) — Accrued costs are below 80% of the expected fee.
- Approaching budget (amber) — Costs are between 80% and 100% of the expected fee. Investigate before it becomes a loss.
- Tracking at a loss (red) — Costs have exceeded the expected fee. Review scope and billing.
The dashboard's At-risk matters count (see Understanding Your Dashboard) flags matters in amber or red so you can act early.
Predicted Pace
Intelligence tier firms also see a predicted pace indicator on each matter:
- On pace — The matter is progressing at a typical rate for its type.
- Slower than typical — Taking longer than similar closed matters.
- Faster than typical — Progressing quicker than average.
Predictions are based on your firm's historical data for that matter type and improve in accuracy as more cases are closed.
Deadline Management
- Automatic reminders are sent at 14 days, 7 days, and 1 day before each deadline.
- Compliance alerts (Intelligence tier) flag approaching regulatory deadlines.
- View all upcoming deadlines across matters in the Calendar view or in Deadlines. See Deadline Tracking and Compliance Alerts.
Filtering and Search
- Filter matters by status, type, assigned attorney, or client.
- Use the search bar for quick lookup by matter title or client name.
- Sort by creation date, last activity, or upcoming deadline.
Dashboard Overview
Your Dashboard (see Understanding Your Dashboard) shows a summary of active matters, upcoming deadlines, recently updated matters, and at-risk cases.
