User Roles and Permissions
Digiiworks Legal supports multiple team members with role-based access. There are no per-user fees — invite your entire team.
Available Roles
- Owner — Full access to all features, settings, billing, and team management. The owner can invite and remove team members, change roles, and manage the firm's subscription. Typically the senior partner or firm principal. Each firm has one owner.
- Lawyer — Access to all matters, documents, calendar, time tracking, invoicing, and analytics (where available by tier). Cannot modify firm settings, manage team members, or change billing details.
- Staff — Access to calendar, document uploads, lead management, and time logging. Cannot view billing details, analytics, or modify firm settings. Ideal for paralegals, secretaries, and administrative support.
Inviting Team Members
- Go to Settings → Team Members (owner only).
- Click Invite.
- Enter the team member's email address and select their role.
- They receive a magic link to create their account — no passwords needed.
Managing Your Team
- Change roles — Click on a team member and select a new role. Only the owner can change roles.
- Remove access — Deactivate a team member's account. Their historical activity (time entries, notes) is preserved but they can no longer log in.
- View activity — See when each team member last logged in.
Security Notes
- Each team member authenticates independently via magic link. See Security, Encryption and POPIA Compliance for details.
- Sessions expire after 30 minutes of inactivity.
- All actions are logged with the user's ID for audit purposes.
- The owner can review the access log under Settings → Security.
Tips
- Assign the owner role carefully — there is one owner per firm.
- Review team access quarterly and deactivate accounts for departed staff.
- Use the lawyer role for qualified legal professionals and the staff role for administrative team members.
